JOB POSTING: Academy Manager

Vancouver Tap Dance Society is a registered charity that strives be an innovative leader in the promotion of tap dance and is dedicated to developing awareness of the art form. The Society operates a $425K budget that includes an Academy attended by over 200 students, an internationally recognized annual festival,  a youth performance ensemble, outreach programming and the ownership of a building dedicated to the art form.

VanTap is seeking an energetic individual who has  a passion for the arts and will enjoy the relaxed environment and culture at VanTap.  The Academy Manager is an integral role, working with the Executive Director, our teaching faculty of 8, and part time and seasonal admin staff.

The Academy Manager oversees daily operations of the Vancouver Tap Dance Academy and related programs, building management, revenue stream enhancement, customer relations and financial management. This role is complex and wide in scope, and is the front-line point of contact.

Vancouver Tap Dance Society is preparing to transition to a new leadership team and the Manager will provide their experienced leadership and non-profit management abilities as we transition to our new leadership model. This key role will work in tandem with the Executive Director and will provide support, resources and leadership to all of VanTap’s stakeholders, teaching faculty, board and dance members.

REQUIRED SKILLS/EXPERIENCE

 

  • Post-secondary diploma or degree in the arts, management, or related field
  • Minimum 3 years’ experience in a leadership or management role
  • Knowledge of managing major programs in the arts and dance studio is preferred
  • Familiarity with accounting concepts and financial management
  • Excellent interpersonal skills combined with critical and strategic thinking capacity
  • Programming and event coordination experience
  • Proficient in Microsoft Office , Dance-Studio Pro CRM (preferred)
  • Proficiency in Mailchimp, social media, and WordPress
  • Ability to work independently and with a team
  • HR and Employment Standards knowledge
  • Financial management in the non-profit sector

 

 

KEY ROLES and RESPONSIBILITIES

Academy Management

All aspects of dance studio management: Registrations, competitions, costume liaison, customer relations, securing substitutes, school calendar, contribution to all program development and Academy brochure. Understanding of studio operations and the necessity for clear communication to all members, board, and external stakeholders is essential. The Academy Manager supports the faculty in the delivery of 30 weekly classes over 200 students from Sept.-June and our spring and summer break programs.

 

Financial Oversight

Oversee daily activity (registrar, banking, CRM)

Process registrations and fees; oversee withdrawals, refunds, discounts

Liaise with Bookkeeper, ensure consistent transaction procedures

Cash Flow management and contribution to budget.

 

Event Coordination

Coordinate Year End Recital (venue bookings, faculty communication, ticketing)

Coordinate/assist with other events and performances during the year

Assist with Vancouver International Tap Festival

 

Communications

Quarterly newsletters to the membership and other communications as needed

Coordinate emails, phone calls, correspondence (with reception staff)

Ensure consistency of communications/culture across faculty and admin staff

Liaise with ED and marketing coordinator on marketing, web, and social media strategy and assist as necessary

Conduit between parents, dancers and teaching faculty

 

Building

Ensure adequate janitorial and maintenance

Liaise with renters and anchor tenant

Facilitate with contractors with upgrades

 

BENEFITS and COMPENSATION:

Annual salary-$26,000-$34,000 (based on experience) 25 hours per week

3 weeks vacation

Start Date: Dec 10. no later than Dec 13. Candidate receives 30-35 hours of training.
